1. Accepting these terms
By creating an account, requesting a club workspace, accepting an invitation or using Pitchbooks, you agree to these terms and our Privacy Notice. If you use Pitchbooks for a club or other organisation, you confirm that you have authority to accept these terms for that organisation.
If you do not agree, do not create an account or use the service.
2. Eligibility and accounts
- You must provide accurate information and keep your account details up to date.
- You are responsible for keeping your password and access links confidential and for activity carried out through your account.
- Do not share an account where that would bypass club permissions or make activity impossible to attribute correctly.
- Tell us promptly if you suspect unauthorised access.
3. Club workspaces and permissions
Pitchbooks lets clubs manage pitches, sites, teams, formats, availability, bookings and related requests. Club administrators are responsible for inviting the right people, assigning appropriate roles and checking that information entered into their workspace is accurate and lawful.
Information displayed to a club member is controlled by that club’s permissions. We may rely on the club administrator’s instructions when providing the workspace.
4. Acceptable use
You must use Pitchbooks lawfully and in line with our Acceptable Use Policy. In particular, you must not misuse the service, probe or defeat its security, upload malicious code, impersonate another person, or use data obtained through Pitchbooks for an unrelated purpose.
5. Trials, subscriptions and payment
- A new club workspace receives the trial period displayed when it signs up. Unless we say otherwise, the trial does not require a payment card.
- Continued access after the trial requires an active whole-club subscription at the price and billing interval shown at checkout. Prices are shown inclusive or exclusive of taxes as stated at checkout.
- If a club adds its payment method before the trial ends, Stripe will normally charge the selected plan when that trial ends. If less than 48 hours remains, checkout may begin the paid subscription immediately and will show this before confirmation.
- Subscriptions renew automatically for the selected monthly or yearly period until cancelled. Club administrators can manage payment details and cancellation through the Stripe billing portal.
- Cancellation takes effect as shown in the billing portal, normally at the end of the paid billing period. Except where law requires otherwise, amounts already paid are non-refundable and we do not provide partial-period refunds.
- We may restrict club access when the trial expires without a subscription, or when a subscription is unpaid, paused, cancelled or otherwise inactive.
6. Your content and responsibilities
You keep ownership of information your club enters into Pitchbooks. You give us permission to host, store, process and display that information only as needed to operate, secure, support and improve the service.
You must have the rights and permissions needed to enter information about other people, including team members or contacts. Do not enter unnecessary sensitive personal data.
7. Service availability and changes
We aim to keep Pitchbooks available, but we do not promise uninterrupted or error-free operation. We may carry out maintenance, change features, or suspend access where reasonably necessary for security, legal compliance or service operation.
We may update these terms when the service or law changes. We will publish the updated version here and update the date above. If a change materially affects your rights, we will take reasonable steps to bring it to your attention.
8. Third-party services
Pitchbooks may depend on third-party infrastructure, transactional email providers and Stripe for payment processing. Those providers may have their own terms and privacy information. We remain responsible for the service we provide, but cannot guarantee the availability of a third-party service we do not control.
9. Suspension and termination
You may stop using Pitchbooks at any time. We may suspend or terminate an account or workspace if you seriously or repeatedly breach these terms, create a security or legal risk, or if the service is discontinued.
When access ends, information may remain available to the relevant club administrator or be retained where needed for security, legal, dispute-resolution or backup purposes, as explained in the Privacy Notice.
10. Disclaimers and liability
Pitchbooks is a planning and booking tool. It does not guarantee pitch availability, booking acceptance, sporting outcomes, safety, or that a club’s decisions are correct. Clubs remain responsible for their own facilities, policies and communications.
Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited, including liability for fraud or for death or personal injury caused by negligence. Subject to that, Pitchbooks is not liable for indirect or consequential loss, loss of profit, or loss caused by information or decisions supplied by a club or user.
11. Governing law
These terms are governed by the law of England and Wales. The courts of England and Wales will have exclusive jurisdiction, except where mandatory consumer law gives you the right to bring a claim elsewhere.
